Privacy Policy

ProperLink Intelligence Pty Limited (ACN 694 596 453) (“ProperLink”, “we”, “us”) operates the ProperLink mobile application, a platform that connects residents who need cleaning services with independent cleaners in Australia. This policy explains what personal information we collect, how we use it, and your rights, in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

ProperLink is not intended for children. You must be at least 18 years old to use the app, and we do not knowingly collect personal information from children.

1. Information we collect

Account and profile. Your name, phone number (used to sign in via SMS verification), email address, preferred language, and, for cleaners, profile details such as years of experience and a profile photo.

Cleaner compliance documents. For cleaners, we also collect onboarding compliance documents — identity and right-to-work documents, evidence of public liability insurance, an Australian National Police Check, and payout account details (account name, BSB and last four digits) — used only to assess eligibility to offer services on the platform and to set up payouts.

Job content. The details of cleaning jobs you create or accept — property address, property details, job descriptions, photos you upload (before/verification/after photos), in-app messages between the resident and cleaner on a job, and ratings and reviews.

Location.

Payment information. Payment card details are collected and stored by Stripe, our payment processor — ProperLink never stores your card number. For cleaners, Stripe also collects the identity and bank details required by financial regulations to pay you (Stripe Connect).

Technical information. We also receive technical information needed to run the service: your device model and operating system version, app version, IP address, an account identifier, a push-notification token for your device, and error logs and crash reports if the app encounters a problem. We use this to deliver notifications, keep accounts secure, diagnose faults and improve reliability.

2. How we use your information

We use your information to operate the platform: matching jobs with nearby cleaners, showing live cleaner progress to residents, verifying arrival at the job address, processing payments and payouts, sending push notifications about job activity, providing in-app messaging, maintaining safety and quality (ratings, disputes), and complying with legal obligations. We do not sell your personal information, and we do not use it for third-party advertising.

3. Who can see your information

Residents and cleaners matched on a job see each other's public profile (name, photo and, for cleaners, years of experience) and the information needed for the job — including the job address (cleaner) and live en-route location (resident). Your phone number and email are not shown to other users. Our administrators can access records as needed to operate the platform and resolve disputes.

Your data is primarily stored in Australia — our database and file storage are hosted in Sydney. Some providers process personal information outside Australia, including Stripe, Google and Twilio in the United States and the OpenStreetMap-based services (Nominatim, Photon, OSRM) in Europe. Where personal information is disclosed overseas, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles, including through contractual safeguards where appropriate. Overseas providers may also be subject to the laws of their own jurisdictions.

5. Data retention and account deletion

You can delete your account at any time from the Settings screen in the app, or request deletion at properlink.ai/delete-account. We may verify your identity before actioning a request.

When an account is deleted, your profile is de-identified: your name, phone number and email address are removed, and your profile photo is removed from your profile. We keep information that we must retain by law or reasonably need for fraud prevention, financial records, tax, chargebacks or unresolved disputes — records of completed jobs and payment transactions, including photos uploaded to those jobs, are retained — no longer linked to your name, phone number or email — for up to 7 years in line with Australian financial record-keeping requirements, and are then deleted. We will explain any retained categories on request.

6. Security

We use reasonable technical and organisational measures designed to protect personal information, including encrypted connections, access controls and server-side payment processing. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your rights and complaints

You may access and correct your profile information in the app at any time. For other privacy requests — including access to, or correction of, information we hold about you — contact us using the details below.

Privacy complaints. To make a privacy complaint, contact us at hello@properlink.ai and describe your concern. We will acknowledge your complaint and aim to investigate and respond within 30 days. If we cannot respond within that time, we will tell you why and give you an expected response date. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (www.oaic.gov.au).

8. Changes to this policy

We may update this policy from time to time. Material changes will be notified in the app. The “last updated” date above shows the current version.
